The Challenge
Manual purchasing created administrative burden and financial friction
Room Price Genie is a hotel technology company that provides automated dynamic revenue management systems for independent hotels and hotel groups. As the company scaled from 15 to 160 employees over four years, the process of equipping new hires became increasingly complex.
Fani Delliou, Global Head of People Operations, found herself spending 10–15 minutes per hire on equipment ordering, often repeated multiple times as job offers were extended at different times before start dates. Before Deel IT, the company required new employees to purchase their own laptops and equipment, then expense them for reimbursement.
This approach created several pain points. New hires had to make significant upfront purchases. They typically spent several thousand euros before receiving their first paycheck. For many employees, especially those early in their careers or new to the job market, this was a financial barrier. The process also created awkward conversations between Delliou and incoming employees about whether the company could help with the upfront cost.
International hires in remote regions had to navigate purchasing in their local markets with no company support. And when employees eventually left the company, retrieving equipment was inconsistent because devices were tracked manually on a case-by-case basis.
"We went from managing device logistics across scattered regions to having a completely automated, unified system. It removed a huge operational headache for our team." — Fani Delliou, People Operations Lead, Room Price Genie
The Solution
Automated equipment workflow integrated with welcome process
Room Price Genie adopted Deel IT in May 2024, transitioning the entire equipment provisioning workflow into an automated system. The solution integrates seamlessly with the new hire onboarding process. New employees select equipment through a self-service portal with pre-approved options tailored to their role. The process requires no manual approval.
Once a new hire selects their equipment, the entire fulfillment process runs in the background. Fani no longer has to manually coordinate with vendors, track shipments, or follow up with individuals. The system manages global logistics and reduces shipping delays for international hires. For employees transitioning between roles, the offboarding process is equally streamlined—devices are returned to centralized storage automatically.
The company also integrated Mobile Device Management (MDM) capabilities, giving them centralized visibility and control over all devices from issuance through return.
"Having that part of the welcome email triggered a month before the start date was already making the process a lot faster. And all the steps happen in the background without needing my involvement." — Fani Delliou, People Operations Lead, Room Price Genie
The Results
Security compliance and operational efficiency at scale
Deel IT has fundamentally strengthened Room Price Genie's compliance and security posture. Deel IT provides centralized device tracking, MDM enrollment records, and automated offboarding workflows, creating the visibility and control necessary for security and compliance frameworks.
Deel IT centralizes device tracking and MDM enrollment records, making device history easy to reference, ensuring accountability and supporting compliance requirements. This centralized approach supports our broader security and compliance efforts. In Delliou's words, having all the data in one place eliminates the constant hunt through emails to answer security questions. With Deel IT, every critical data point (enrollment dates, offboarding confirmations) is immediately available in one system.
Beyond compliance, the shift to Deel IT noticeably improved the employee experience. New hires no longer face awkward conversations about upfront costs or uncertainty about equipment arrival. The system removes financial friction, demonstrating immediately that the company is organized and prepared. By embedding equipment selection into a personalized welcome email sent weeks before the start date, new hires make their choice once, and the rest happens automatically. This automation also enables confident global expansion. Delliou can now onboard employees across APAC and Latin America without manual coordination of regional shipping logistics.
For a small people operations team managing rapid hiring cycles, the time savings have been equally meaningful. Delliou estimates the system saves her team 10–15 minutes per hire, time that was previously scattered across vendor coordination, shipment tracking, and follow-ups. Now, with all fulfillment running in the background, she can focus on strategic initiatives instead of logistics.
We can easily track whether someone is enrolled in MDM, whether devices were returned during offboarding—all the proof we need. This supports our security and compliance efforts.
